Overview
You can create and manage inspection layout templates in Settings so that you're able to start your inspections quicker, using your agency's own standardised templates.
First, configure Area templates to create a set of standardised areas you would use in your properties (e.g. Kitchen, Bedroom, Bedroom & Ensuite). From here, you can simply use these Area templates to build your Inspection layout templates.
You can create as few or as many Inspection layout templates as needed by your agency. For example, you might have different templates for a Studio Apartment, a 3 Bedroom House, and a 2 Bedroom Apartment.
Managing area templates
Area templates are the building blocks of Inspection layout templates. Create your Area templates before creating your Inspection layout templates. Your areas can be created from Area templates when you are on the Ailo mobile app onsite at your inspection.
Note: Whenever you update an Area template, the system will automatically update all versions of that Area template within your Inspection layout templates so that everything is up to date and standardised.
Managing inspection layout templates
You can manage your templates in the Inspection layout templates section in Settings.
You will start by only having the Ailo property template.
You can either duplicate this as a starting point or create a new one from scratch.
When creating your Inspection layout templates, you can use the Area templates you created earlier.
Once you have created additional Inspection layout templates, you can set a default template to be auto-selected whenever you create a new management on Ailo (don't worry, you can still change the template later).
Callout: There is an Admin only toggle for Inspection layout templates; by default, it is set to admins only. Non-admins can only view the templates.
Assigning an inspection layout
Inspection layouts are configured during a New management or Takeover management project.
This is completed within the Select inspection layout project action.
When a project is created, the system will automatically select your default template.
You can change the layout by clicking Edit inspection layout.
Once an inspection has been scheduled, the inspection layout will not be editable from this project action and will have to be edited from the inspection editor. You will always have access to your Area templates, so modification to layouts remains quick and standardised.
Inspection layout templates on mobile
When you inspect a property for the first time, the layout configured in the project will automatically apply. If you selected the wrong layout, simply add or remove areas to quickly adjust the inspection.
FAQS
- What about my existing properties?
Existing properties that have already been inspected will be unchanged.
For subsequent inspections, they will maintain the layout you originally set for them.
There is currently no ability to retrospectively apply an Inspection layout template to a property that has already been inspected.
Can I restore deleted inspection layout templates?
No, once an inspection layout or area template is deleted, it cannot be recovered. You will need to recreate it from scratch.
