Overview
You can see the syncing status of every person involved in an inspection — including which device they used and how many items they've synced. This is visible on both mobile and desktop, and helps you confirm that all data (photos, conditions, and comments) has been uploaded before you finalise and share a report.
What you'll see
Each person who has contributed to the inspection is listed with:
- Their name and device (e.g. iPhone 15 Pro Max, Samsung S25)
- A sync count showing how many items have been synced out of the total (e.g. 122/200)
Sync statuses
- Ready to sync — The device has items ready to upload. A "Sync" button is available.
- You have unsynced changes — You have items on this device that haven't been uploaded yet. Tap "Sync" to start the upload.
- Others have unsynced changes — Another person on the inspection has items that haven't been synced. They'll need to open the inspection on their device and tap "Sync."
- Upload complete — All items from all participants have been synced successfully. You're safe to finalise.
- Connect to the internet to sync — The device is offline. Connect to Wi-Fi or mobile data, then tap "Sync."
Finalising with unsynced changes
If you try to finalise and share a report while some people still have unsynced items, you'll see a warning that tells you exactly who hasn't synced and how many items are outstanding. You can choose to continue and finalise anyway, or cancel and wait for everyone to sync first.
Automatic photo upload
You can enable Automatic photo upload in the PM mobile app so that inspection photos upload in the background as you take them — meaning less to sync when you're ready to finalise.
To turn it on: go to Settings > Automatic photo upload and toggle it on. You'll also see a Wi-Fi only option if you want to avoid using mobile data for uploads.
When automatic upload is active, photos are uploaded in the background after they're taken in the app. You'll see an "All photos uploaded" confirmation when everything is up to date.
Syncing tips
- Turn on automatic photo upload to reduce sync time at the end of an inspection.
- Keep the upload screen open while syncing — don't minimise the Ailo app.
